RefLogix™ is a product of 3C's, LLC.
This Privacy Policy explains how RefLogix collects, uses, shares, protects, retains, and deletes personal information when you use the RefLogix website, application, and related services.

1. Our Privacy Approach
RefLogix is designed as a personal workspace for sports officials.
We collect and process information needed to provide the features you choose to use, operate and secure the Service, maintain your account, support billing and communications, and improve RefLogix.
We do not operate RefLogix as an advertising marketplace.
We do not use your officiating or financial records to serve targeted advertising.
2. Information You Provide
Depending on the features you use, RefLogix may collect information such as:
Account and Profile Information
This may include:
- Name
- Email address
- Optional phone number
- Home address information used for supported mileage and travel features
- Profile image
- Time zone and application preferences
- Password-related account credentials in protected form
Officiating and Career Information
This may include:
- Assignment dates and times
- Sport and level
- Home and away teams
- Position
- Conference or organization
- Venue and location information
- Crew information
- Names and contact information for officials you choose to record
- Certifications
- Camps and clinics
- Equipment records
- Notes and journal entries
- Career-history information
Travel and Mileage Information
This may include:
- Home and venue addresses
- Trip information
- Travel mode
- Mileage
- Hotels, airports, and other travel details you choose to record
Financial and Tax-Organizer Information
This may include:
- Game fees
- Payments received
- Payment dates
- Outstanding amounts
- Paying organizations
- Worker classifications you choose to record
- Reimbursements and allowances
- Business expenses
- Mileage records
- Receipts
- Documentation indicators
- Year-end and preparer-review information
RefLogix does not determine whether you are an employee or independent contractor and does not determine the tax treatment of your records.
Billing Information
When paid subscriptions are enabled, our payment processor handles payment-card transactions.
RefLogix may receive and store limited billing information such as:
- Payment-provider customer identifiers
- Subscription identifiers and status
- Billing dates
- Card brand
- Last four digits of a payment method
RefLogix does not need your full payment-card number to provide ordinary subscription management through the application.
Information About Other Officials
You may choose to record the names, email addresses, phone numbers, or other professional information of officials you work with.
You are responsible for entering and using third-party information only for legitimate and lawful purposes.
3. Information Created Through Your Use of RefLogix
RefLogix creates operational information needed to provide and secure the Service.
This may include:
- Account creation and login dates
- Successful or failed authentication events
- Security audit events
- Source IP address associated with certain security events
- Share activity
- Import and synchronization status
- Account lifecycle events
- Support and system-operation records
- Subscription events
- Error and reconciliation categories
We minimize sensitive information in security logs and do not intentionally place passwords, authentication secrets, or full receipt contents into ordinary audit records.
4. Imports, Synchronization, and Sharing
If you use supported import or synchronization features, RefLogix may process information supplied by a source you select or configure.
This may include calendar or assignment information necessary to create or update your records.
When you use a RefLogix sharing feature, we process information necessary to identify the intended recipient, control access, and record security or lifecycle events associated with the share.
Sensitive financial, tax, receipt, private-note, and account information is not intended to become general shared content merely because an assignment is shared.
5. How We Use Information
RefLogix may use personal information to:
- Create and maintain your account
- Authenticate you
- Organize your assignments and career records
- Connect crews, officials, venues, trips, and assignments
- Calculate and display mileage and financial summaries
- Record payment activity
- Organize Tax Center information
- Generate requested reports or exports
- Store and retrieve receipts and profile images
- Provide sharing and collaboration features
- Send transactional emails
- Process subscriptions and billing
- Provide support
- Detect abuse, fraud, or unauthorized access
- Audit important security and account actions
- Diagnose and reconcile service operations
- Improve the RefLogix experience
- Comply with applicable legal obligations
6. Tax and Worker-Classification Information
RefLogix stores factual records and classifications that you enter.
RefLogix does not independently determine:
- Whether you are an employee or independent contractor
- Whether an expense is deductible
- Whether a reimbursement is taxable
- How an item should be reported on a tax return
- Your complete tax liability
Tax Center is intended to organize records for your own review and for use with tax-preparation software or a qualified professional.
7. Service Providers
RefLogix uses service providers to operate the Service.
Depending on configuration and the features you use, these may include providers of:
Hosting and Database Infrastructure
These providers host the RefLogix application and application database and therefore process information necessary to operate the Service.
Private File Storage
Private object-storage services may store supported receipts, profile images, or other application files.
Transactional Email
An email-delivery provider processes recipient information and message content necessary to send invitations, verification messages, password resets, account notices, and other transactional communications.
Payment Processing
A payment processor handles subscription checkout and billing information.
Mapping and Location Services
Mapping or geocoding services may receive address or place information when you use features that require distance or venue assistance.
Customer Relationship Management and Service Operations
A customer relationship management/service provider may receive limited account and activity information used for customer lifecycle, support, account status, and operational communication.
RefLogix minimizes financial information transmitted through this integration. Individual ledger transactions, receipt files, supporting financial documents, and cumulative income totals are not part of the current ordinary CRM synchronization.
Website Analytics
RefLogix may use optional analytics on eligible public pages and authenticated product surfaces after you select Allow Analytics.
Google Analytics 4 may be used for limited acquisition, feature-adoption, and workflow start/completion measurement. Microsoft Clarity may be used for heatmaps, click and scroll behavior, session recordings, and other usability or friction analysis.
RefLogix uses a manual, restricted event vocabulary and strict content masking. These analytics are designed not to include your name, email, phone number, RefLogix user ID, financial amounts, receipt contents, assignment record content, notes, authentication credentials, or private sharing credentials. RefLogix does not use Google Analytics User-ID or Microsoft Clarity Identify for this measurement.
Authentication, account-recovery, administration, legal, private-share, receipt, export, billing, download, webhook, and service/API surfaces are excluded from analytics loading. Selecting Essential Only loads neither Google Analytics 4 nor Microsoft Clarity.
9. Sale and Targeted Advertising
RefLogix does not sell your personal information as part of its business model.
RefLogix does not use your officiating, Tax Center, expense, receipt, mileage, or payment records to deliver targeted advertising.
If these practices materially change, this Privacy Policy will be updated and any legally required choices will be provided.
11. Data Security
RefLogix uses administrative, technical, and organizational safeguards designed to protect personal information appropriate to the nature of the Service.
These include measures such as:
- Authentication and authorization controls
- Ownership isolation
- Secure session controls
- CSRF protections
- Rate limiting
- Audit logging
- Private storage for supported sensitive files
- Restricted administrative functions
- Encryption and secure transport where appropriate
- Security-focused testing and dependency review
No internet service or storage system can guarantee absolute security.

12. Account Deletion and Retention
When you request account deletion, RefLogix disables and isolates your account immediately.
RefLogix generally uses a 30-day deletion-retention period before operational and personal account data becomes eligible for irreversible purge.
During this retention period, authorized restoration of the original account may be possible.
After the retention period, operational information associated with the account is scheduled for purge through the RefLogix account-lifecycle process.
Information scheduled for removal includes categories such as assignments, financial and expense records, trips, receipts, venues, crews, officials, camps and clinics, account tokens, profile information, and other operational records associated with the deleted account.
Some limited records may be retained longer when necessary for legitimate purposes, including:
- Billing and subscription traceability
- Security and audit evidence
- Fraud prevention
- Rate-limit and abuse-prevention records
- System-operation and reconciliation evidence
- Legal or regulatory obligations
- Records necessary to document that an account was deleted
A deleted account may therefore leave behind a minimal tombstone, billing record, audit evidence, or deactivated integration linkage even after operational data is purged.
Service-provider retention may also be subject to provider-specific backup, security, legal, and operational practices.
13. Restoring a Deleted Account
During the applicable deletion-retention period, RefLogix may permit authorized restoration of the original account.
Once the account has completed irreversible purge, it cannot be restored through the normal RefLogix lifecycle.
14. Your Privacy Choices and Rights
Depending on where you live and applicable law, you may have rights regarding personal information, including the right to:
- Confirm whether we process personal information about you
- Request access to personal information
- Correct inaccurate information
- Request deletion
- Obtain certain information in a portable format
- Opt out of processing where applicable law provides such a right
- Appeal a decision regarding a privacy request where applicable
The Privacy Choices control in the RefLogix footer lets you choose Allow Analytics or Essential Only and change that choice later. Revoking analytics consent stops future analytics loading and clears known analytics cookies or storage where reasonably supported.

15. Accessing and Correcting Information
Many current account details can be reviewed or updated within RefLogix.

16. Children's Privacy
RefLogix is not directed to children under 13, and accounts are not intended for users under 13.
We do not knowingly seek to collect personal information from children under 13 through RefLogix.
If we learn that personal information has been collected from a child under 13 in circumstances requiring deletion, we will take appropriate steps to remove or isolate the information in accordance with applicable law.

17. United States Focus
RefLogix is currently designed primarily for sports officials operating in the United States.
If you access RefLogix from another country, local privacy or data-protection requirements may differ.
Contact us before relying on RefLogix for a use that requires compliance with a non-U.S. regulatory framework not expressly supported by the Service.
18. Transactional Communications
RefLogix sends transactional communications necessary to operate accounts and requested features.
These may include:
- Invitations
- Sharing invitations
- Email verification
- Password reset
- Security notices
- Account deletion notices
- Account restoration notices
- Other service-related messages
Transactional messages are not optional marketing communications when they are necessary to complete or secure an action you requested.
If RefLogix later introduces marketing communications, separate choices and disclosures may be provided as appropriate.
19. Changes to This Privacy Policy
We may update this Privacy Policy as RefLogix, our service providers, or legal requirements change.
The "Last Updated" date identifies the current version.
If a change materially affects how we handle personal information, we may provide additional notice through RefLogix, email, or another appropriate method.
